01The usual problem

You pay for ads and the leads arrive. Then they sit in an inbox, and someone else calls them first.

Sound familiar? Tick what applies to you.

02What you get

Speed-to-lead system

Every ad or form lead reaches your team in Slack within a minute, with buttons to claim it. Unclaimed after 15 minutes, the team is nudged. A daily report shows who was called, closed and missed.

  • Meta lead ads
  • Forms
  • Slack

WhatsApp lead intake

Leads who message on WhatsApp are qualified with buttons, sent a brochure or booking link, and copied into one Slack thread per lead, so the team replies from one place.

  • WhatsApp Business API
  • Slack

CRM hygiene alerts

Every morning, the leads stuck for a month and the meetings with no follow-up. Every Monday, a list of contacts nobody has touched in a week.

  • Zoho
  • HubSpot

Booking round-robin

New consultation bookings go to the next person in turn, get logged as a CRM lead and posted to Slack, with a morning summary and reminders.

Order and payment alerts

New, rescheduled and rejected orders, and every payment received, posted to Slack with the amount and a link to the deal.

Alerts when anything fails

If any step breaks, the failing step and the error reach me straight away, usually before you notice.

03What changes

Every lead answered, without adding headcount.

  • Leads claimed and called while they’re still warm
  • One place for WhatsApp, forms and ads
  • A CRM your team can trust again
  • Workflows on your accounts, documented and handed over

04Overview

What does an AI workflow automation consultant do?

An AI workflow automation consultant connects the tools a business already uses so repetitive work runs on its own. Sanjeev Singh is a workflow automation consultant who builds n8n, Make and Zapier workflows for sales and operations teams, and has built more than 70 n8n workflows. He has been building software since 2016, and every project starts with a fixed written quote within 24 hours.

Most of the value comes from five kinds of workflow. A speed-to-lead system sends every ad or form lead to the team in Slack within a minute, nudges them if nobody claims it in 15 minutes and sends a daily report. A WhatsApp intake bot qualifies leads with buttons, sends a brochure or booking link and copies each chat into one Slack thread. CRM hygiene alerts flag leads stuck for a month and contacts nobody has touched in a week. A booking round-robin assigns new consultations in turn. Order and payment alerts post every new order and payment to the team.

AI is used only where it saves real time, such as sorting an enquiry, pulling details out of a message or drafting a summary for the team. Reliable routing and alerts deliver most of the results, and every workflow reports its own errors, so a failing step is fixed before leads are lost.

Choosing the tool depends on volume and complexity. Zapier is the easiest start for a few simple automations. Make suits visual, multi-step flows. n8n costs the least at high volume, can be self-hosted and handles complex logic with code steps, which makes it the usual choice for core business processes. Sanjeev also moves existing Zapier or Make automations to n8n when task-based pricing gets expensive.

The best processes to automate repeat at least weekly, follow clear rules and cost money when delayed. Lead response is the classic example: a lead called within minutes is far more likely to convert than one called the next day.

Automation work touches leads and sales data, so clients stay confidential and are never named. Workflows run on the client’s own accounts, connected to their own CRM, WhatsApp and Slack, with written notes on what each one does. He works with businesses in the UAE, Australia, the US and the UK, and invoices in US dollars against milestones.

05Ways to work together

  1. 01

    Lead response automation

Ad, form and WhatsApp leads routed to the right person in minutes, with nudges and a daily report.

  2. 02

    CRM clean-up and alerts

Stale leads, missing follow-ups and duplicate contacts flagged automatically in Zoho or HubSpot.

  3. 03

    Order and payment workflows

Orders, payments and stock updates moved between your store, CRM and team chat without copy-paste.

  4. 04

    Zapier or Make to n8n

Existing automations moved to n8n when task-based pricing gets expensive, rebuilt and tested step by step.

Before you automate: a checklist

Automating a broken process just breaks it faster. Run through these first, whoever builds your workflows.

Pick the right process

  1. It repeats at least weekly. One-off tasks rarely repay the setup time.
  2. It follows rules. If two people would make the same decision, a workflow can make it too.
  3. Delay costs money. Lead response is the classic case: a lead called in minutes is far more likely to convert than one called the next day.

Set it up to last

  1. Use accounts in your company’s name, not a freelancer’s, for every tool the workflow touches.
  2. Log every run, so you can see what happened to any lead or order.
  3. Send failures somewhere a person will see them, such as a Slack channel or an email.
  4. Write down what each workflow does, in one line, next to who owns it.

Choosing a tool

Zapier Make n8n
Easiest to start Yes Fairly Needs a developer
Cost at high volume Highest Medium Lowest, can self-host
Complex logic Limited Good Best, with code steps
Best for A few simple automations Visual multi-step flows Core business processes

11Questions

What can be automated in a small business?

Anything that repeats and follows rules. The biggest wins are usually lead routing and follow-up, CRM updates, order and payment alerts, bookings and weekly reports. If someone copies data between two tools every day, it can almost always be automated.

n8n, Make or Zapier?

Zapier is easiest for simple, low-volume tasks. Make suits visual, multi-step flows. n8n costs far less at volume, can be self-hosted and handles complex logic. I recommend one in the quote, based on your volume and tools.

Do you use AI in the workflows?

Only where it saves real time, such as sorting an enquiry, pulling details out of a message or drafting a summary for your team. Most of the value comes from reliable routing and alerts, not AI.

Will you name past clients?

No. Automation work touches a business’s leads and sales data, so I keep every client confidential. I’m happy to walk you through the workflows on a call, with their data hidden.

What happens when a workflow fails?

Every workflow I build reports its own errors. If a step fails, the failing step and the error are posted straight away, so it gets fixed before leads are lost.

How do payments work?

I invoice in US dollars, wherever you are, against milestones agreed in the quote. You don’t pay for a stage until you’ve seen it running.

Who owns the workflows?

You do. They run on your own n8n, Make or Zapier account, connected to your own tools, and come with written notes on what each one does.
